Jean Hailes for Women’s Health respects your right to privacy and endorses fair information handling practices and uses of information in compliance with its obligations the Australian Privacy Principles contained in the Privacy Act 1988.

Collection of personal information
Jean Hailes for Women’s Health will receive and store the personal information you enter onto our website, provided to us directly or given to us in other forms.
The personal information we collect via our websites may include:

If you have any questions about our privacy practices, please submit your question or concern in writing to Jean Hailes for Women’s Health at PO Box 24098, Melbourne VIC 3001. We take complaints very seriously and will acknowledge any complaints upon receipt, if you provide your contact details. We will try to respond to your privacy concern or complaint within 30 calendar days from the date that we receive it. We will notify you if we cannot respond to you within this time.
Updates to our privacy policy
Please be aware that we may change this privacy policy in the future. We may modify this policy at any time, in our sole discretion and all modifications will be effective immediately upon our posting of the modifications on our website or notice board. Complaint management policy
Complaints can be made via our complaints form.
- Complaints and feedback are welcomed and used for continuous improvement.
- Information on how to make a complaint must be clear and easy to access.
- Complaints must be managed promptly, confidentially and transparently, and in a manner that ensures the complainant (the person making the complaint) is treated with respect, fairness and dignity.
- An acknowledgement that includes an outline of the process and expected timeline for a complaint to be assessed must be sent to the complainant, or a person acting for the complainant, within three (3) business days.
- Our goal is to resolve all complaints within ten (10) business days, but we guarantee the assessment and resolution of any complaint within ninety (90) days.
- Making a complaint must not result in the complainant being treated differently or unfairly.
- Respondents (people against whom a complaint is made) will be given the opportunity, and supported, to review and respond to any complaint, with any assessment or investigation to be conducted in a manner that ensures fairness, confidentiality and natural justice.
- The complainant will be informed in writing of the resolution of any complaint, including the reasons for any decision made and any actions taken in relation to the complaint.
- All complaints, assessments and resolutions must be recorded in a secure register to protect confidentiality.
- Details of a complaint by a patient in The Jean Hailes Clinics must not be included in the patient’s health record.
- If the complainant is not satisfied with a resolution, the complainant may request escalation.
- All complainants must be provided with information on any relevant external body/bodies to enable them to pursue the matter if they are dissatisfied with the resolution provided by JHF.
- The CEO has the authority to manage vexatious complaints outside this Policy. Vexatious complaints are frivolous, untrue or repetitive complaints made with the intent to harass, annoy, or cause distress to a person or organisation.
- Complaints received from people deemed to be vexatious complainants (people who make vexatious complaints) will be dealt with only by the CEO via an agreed communications plan.
Jean Hailes is a Child Safe Organisation, and has additional policy statements if the complainant is a child (under 18 years of age) or if the complaint is made by another person (e.g., a parent or guardian) and concerns the safety or wellbeing of a child:
- Any complaint concerning the safety or wellbeing of a child or young person will be prioritised for urgent assessment by the CEO (or the CFOO if the CEO is unavailable). If the CEO is a respondent, the complaint will be communicated to the Board Chair by the CFOOO.
- All JHF Board members and employees must comply with state/territory laws that require the reporting of complaints that suggest the potential abuse or neglect of a child or young person to the relevant authority in line with the JHF Child Safety and Wellbeing Policy.
- Children and young people making a complaint will be supported in ways appropriate to their age, culture and needs. Families will be involved where appropriate.
- The confidentiality of children, their families and any person(s) making a complaint on behalf of a child or their family will be respected.

We publish a wide variety of medical and health information in print and electronic form. The importance of editorial rigour for medical information cannot be overstated.
Our editorial policy provides final approval and authorisation for publication under the Jean Hailes imprimatur for all information that includes an internal peer review process if not already subjected to satisfactory peer review elsewhere.
Health information is developed on this website by our staff, in conjunction with medical and allied health professionals.
Health information presented such as guidelines and educational materials are based on current medical knowledge and practice as at the date of publication. The date when the health information page content was last reviewed and updated is clearly displayed on the relevant page.
