Position description

Executive Assistant & Office Manager

Based at Head Office in East Melbourne and working within the CEO Team, the Executive Assistant & Office Manager role will see you apply highly‐developed organisational and analytical skills to proactively support the CEO and keep the whole office humming.

This is a part‐time (0.8FTE, equivalent to 4 days per week), fixed term maternity leave replacement for 12 months. Must be able to work Fridays. Spreading 4 days over 5 (i.e. 6 hours per day Monday to Friday) is possible.

Responsibilities of this role will include:

  • Responsible for the internal workings and day‐to‐day smooth running of the office
  • High‐quality executive and project management support to the CEO as required
  • Coordination of meetings/events, including diary management, venue/room bookings, catering and audio‐visual equipment
  • Preparation of documents such as correspondence, proposals, project reports and presentations
  • Creation and maintenance of customer relationship management records
  • General support to all team members and other projects as required

Your skills and experience will include (Key selection criteria):

  • Demonstrated experience working in administration or PA/EA role
  • Exceptional organisational skills, including an ability to meet deadlines and prioritise tasks
  • Impeccable attention to detail and quality
  • Excellent verbal and written communication skills
  • A high level of interpersonal skills, which enable the appointee to liaise effectively with a wider range of people at a variety of levels, both internal and external to the Foundation
  • Advanced Microsoft Office skills

Working directly with various stakeholders internally and externally, you will be an integral part of the Jean Hailes team. Your professional nature, high level of interpersonal skills and proactive approach will hold you in good stead to hit the ground running in this varied role. Health professionals

We are seeking GPs, endocrinologists, gynaecologists, dermatologists and allied health professionals, who have a key interest in women's health issues, to join our team of dedicated women's health experts in providing an exemplary standard of care to our patients.

We have rooms available at our Clayton clinic for full-day sessions and half-day sessions, most days of the week. We also have a limited number of rooms available for half-day sessions at our East Melbourne clinic.

The clinical team is supported by a medical director who is available as an advisor and mentor and Jean Hailes provides ongoing professional development opportunities.

We provide a supportive and professional medical centre environment. Fully maintained medical facilities and equipment and with a fully maintained and up-to-date computer system and clinical software.

Position requirements

  • Qualified in relevant field
  • Current registration with relevant board (or professional association)
  • Relevant professional indemnity cover to the value of $10 million for work in private practice
  • Ability to deliver healthcare and education in a non-judgmental, empathic manner.
  • To work in accordance with AMA Code of Conduct for Medical Professionals and provide the highest standard of care and management of patients in accordance with RACGP, RANZCOG, RACP or other applicable college standards
  • Work within a scope of practice relevant to and expected of the position
  • Maintain appropriate clinical documentation in line with applicable college standards
  • Undertake appropriate professional development activities in women's health conditions relevant to the clientele
  • Opportunities exist for participation in additional activities of specific interest (education, media project involvement, research).

Remuneration: As an employee clinician you will be paid in accordance with your contractual arrangements. If you are an associate, you will be paid in accordance with your letter of engagement.
